Import deposits

How to import deposits into your program?


It is now possible for you to import deposits on your program via the import of csv files.

This feature is available from the BASIC plan.

How to download the csv template?

To begin, go to your program, then go to:
  1. Configuration menu 
  2. Import of deposits



It is on this menu that you will be able to : 
  1. Download the csv template of your program
  2. Import the deposits via a csv file
First of all, download the csv template by clicking on the "Download" button.



On this template, you will find a line containing all the information to be filled in for a user account as well as all the questions for your course (forms).

Warning
The mandatory information to be filled in is the information related to the user account, namely 
  1. The name 
  2. The first name
  3. The email address 
  4. The language of the deposit
  5. The deposit reference (you are free to fill in the reference that suits you best)

If needed, you can convert your csv file to excel to complete it.
There are many online conversion sites. We recommend the site Conversio.


  1. Once you have filled in all the necessary information, you can download the document in csv format.



How to import deposits?

  1. Now you can import your completed csv file to your program by clicking the "Import" button.



You just have to fill in : 
  1. The name of your import
  2. The course attached to this import
  3. The csv file
Then click on the "Next" button.



  1. You can now match the fields of your path with the fields of the file (first line of your csv file).

As a reminder, the mandatory information to fill in is the information related to the user account (name, first name, email address, language, repository reference).

  1. When all the fields are filled, you can start the import by clicking on the "Next" button.



How to track the import of deposits?

On the Import Deposits menu, you can follow the progress of the import live by viewing : 
  1. Import start date
  2. Number of lines to be processed
  3. Number of lines processed
  4. Percentage of progress
  5. Import end date

  1. You can view the error report by clicking on the "Show errors" button.



Warning
The errors can be of different natures: 
  1. Missing one or more mandatory file fields
    1. Linked to the user account: name, first name, email address, language, deposit reference
  2. The answer option indicated on a predefined choice field does not correspond to the field of your path.
    1. For example, to the question "What is your favorite color?" - I have three possible answers on my path (blue, white, red) and the answer indicated on the file field is "yellow". 
  3. The answer indicated on the field of the file is not the right type
    1. For example, to the question "Submit your CV (in pdf format)"  - I indicate a document in word format.

  1. When the import is finished, its status changes to "completed".



  1. You can now go to the Deposits menu to see the latest deposits imported via csv import.




  1. Click on the deposit and check the information inside.




Info
The status of the deposit will be updated automatically according to the information completed on the import.
  1. If all the information on a step is complete, it will be counted as the "last step completed".
  2. If the deposit is complete, its status will automatically change to "Finalized".
No notification will be sent to imported deposits (account confirmation, email on final submission step).
