What is automation ?

Automation is a menu item on the administrator interface. It allows you to use triggers to perform operations .

What is a trigger ?

A trigger is an event that occurs in the system. Selecting a trigger enables one or more actions to be executed. The different triggers are : 
  • Response created : This rule is triggered when a new response is created
  • Reply deleted : This rule is triggered when a response is deleted 
  • Response validated : This rule is triggered when a final sending step is validated 
  • Response awaiting validation : This rule is triggered when a defitinive sending step is awaiting validation 
  • Response rejected : This rule is triggered when a final send step is rejected.
  • Response submitted : This rule is triggered when a final send step is validated.
  • Message received : This rule is triggered when the administrator received a new message from a candidate.
  • Tagged response : This rule is triggered when a tag is applied to an application.
  • Commented application : This rule is triggered when a comment is added to an application.
  • Request for deletion of a deposits : This rule is triggered when a candidate make a deletion request for a deposit.
  • Scheduled date : This rule will run on the scheduled date. You must select the repositories on which the rule is to run.
  • Payment Received : This rule is triggered when a candidate  made a successful payment.
  • Evaluation completed : This rule is triggered when an evaluator has evaluated an application.



What is an operation ?

An operation consists in testing a condition or performing an action.
The different conditions/actions are : 
  1. New action : Actions make changes to the system
  2. Planned actions: Scheduled actions run in the future based on the configured duration.
  3. New condition : Actions will only be executed if all previous conditions are true.
  4. New advanced  condition : Make conditions with several scenarios



How do I configure automation ?

To set up an automation, follow the steps below :
  1. In your program, click on the “Automation” menu.
  2. Then click on the “Create a rule” button.



  1. The “Create a rule” button gives access to the configuration area, where you can select a trigger and add an action by clicking on the “Add operation” button.



  1. Click on “Add an operation” to access the actions interface.



  1. New action : Actions modify a system. 

Selecting this action allows you to :
  1. Send an e-mail : This action sends an e-mail to specified users.
  2. Make an HTTP request : This action allow to makes a post-type HTTP request to a specific Url.
  3. Send a slack notification : This action allows you to send a slack notification. 
  4. Add or remove a tag : This action allows you to add or remove a tag on a deposit.
  5. Add to an evaluation session : This action adds a deposit to an evaluation session.
  6. Planned actions : Scheduled actions run in the future based on the configured duration.



The Send e-mail function 

This function allows you to : 
  1. Select the desired e-mail template
  2. Select recipient roles
  3. Add recipients' e-mails
  4. Save automation configuration



The “Make an HTTP request” function : 

This function allows you to :
  1. Send an HTTP request to the URL
  2. Save configurations




Planned actions : Scheduled actions run in the future according to the configured duration.

Selecting this action allows you to : 
  1. Schedule an action: You can choose the duration in minutes, hours, days or months.



  1. New condition : Actions will only be executed if all previous conditions are met. 




Selecting this action enables you to use  :
  1. Condition on tags field : Check whether tags are present on a repository.




  1. Condition on current stage : Check whether the current stage of a deposit corresponds to a particular stage defined in your route.




  1. Deposit field conditions: Check whether a deposit field meets certain criteria.




  1. New advanced condition : Adds a combination condition.




  1. The automation is named in the rectangle at the top left of the screen.


  1. The list of the set up and saved automations is then displayed in the "Automation" menu.
